Enrollments

There are five main ways to enroll users in courses on the TechChange platform, with the enrollment process dependent on course enrollment strategy and the course catalog listing visibility settings.

1. Open Enrollment

This method of enrollment poses the lowest barrier to entry for users. When a user arrives at the course's catalog listing page, they can click the "Join Course" button and enroll in the latest course session.

The open enrollment method is perfect for a course you're marketing to the public at large. Since there is a very low barrier to entry, keep the following settings in mind:

  • Keep the course catalog listing status as "Draft" until you are ready for users to enroll in the course. See more information about the course catalog listing page here.
  • Set the session settings to "Closed" until you are ready for enrolled users to access course content.
  • As soon as the user clicks the "Join Course" button, they will be successfully enrolled in the course.

Open Enrollment Interaction with Catalog Listing Visibility Settings:

Public Any user can enroll in the course session from your catalog listing page. Using this setting, the catalog listing page is accessible to all users and the course is also visible on the catalog home page.
Unlisted Any user can enroll in the course session from your catalog listing page. Using this setting, the catalog listing page is accessible only by direct link.
Private Open enrollment will not work if a course catalog listing page is set to private. Using this setting, the catalog listing is only accessible to those already enrolled in one of the course's sessions.

  • If the course's catalog listing is private, you will need to enroll your users manually, via enrollment token, or via invitation.

2. Multi-Step Registration Process

In addition to the open enrollment process, as described above, you can add additional requirements to the registration process in order to control who enrolls in a course session.

  1. Submission of an Application Form
    1. You can use an application form to evaluate potential course participants and collect general demographic information about each user.
    2. The user will be required to submit an entry for the application form before they can proceed to the next step.
  2. Manual Review by an Administrator
    1. If manual review is required, an admin can decide whether to accept, reject, or waitlist each individual application.
    2. Automatic emails notifying the user of their review status can be enabled for your organization.
    3. The user will need to be manually accepted by an admin before they can proceed to the next step.
  3. Payment
    1. You can choose a price for the course product, as well as offer ticket types with additional prices for your users, depending on your use case.
    2. User can view price, as well as choose ticket type, on the catalog listing page.
    3. Payment will be collected from each user via Stripe.

Each of the above 3 steps is optional, so you can choose which ones (if any) are required for each of your courses. As long as 1 (or more) steps in the registration process is enabled, the user can start the process via clicking the "Join Course" button on the catalog listing page.

Regardless of which steps are enabled, the order of each step in the registration process is not able to be customized, i.e. you cannot require payment before the application form, manual review before the application form, or payment before manual review.

Recommended settings prior to course launch:

  • Keep the course catalog listing status as "Draft" until you are ready for users to apply for the course. Remember that if application review is off, any user who applies will be enrolled.See more information about the course catalog listing here.
  • Set the session settings to "Closed" until you are ready for enrolled users to access course content.

Multi-Step Registration Process Interaction with Catalog Listing Visibility Settings:

Public Any user can apply for the course session from your catalog listing page. Using this setting, the catalog listing page is accessible to all users and the course is also visible on the catalog home page.
Unlisted Any user can appy for the course session from your catalog listing page. Using this setting, the catalog listing page is accessible only by direct link.
Private The registration process will not work if a course catalog listing page is set to private. Using this setting, the catalog listing is only accessible to those already enrolled in one of the course's sessions.

3. Enroll Manually

Admins can manually enroll existing users in course sessions. While this method cannot be used with users that don't already have an account on your organization's platform, it can be used to enroll specific users.

This method of enrollment has been used by fellowships who want to tightly control which users are enrolled in a given course session. It is also frequently used to enroll course administrators, content creators, and facilitators in a new course session.

Since manual enrollment bypasses the course catalog page, it works with any course catalog listing visibility setting. Manual enrollment also bypasses any requirements in the multi-step registration process.

  • Set the session settings to "Closed" until you are ready for enrolled users to access course content.

4. Invite Users

Admins can invite new users to create an account on the organization's platform. This invitation can include enrollments into various course sessions. This enrollment method is useful for inviting fellowship participants or any user who does not yet have an account and should be enrolled in a certain course session.

Since invitations bypass the course catalog page, they work with any course catalog listing visibility setting. Users enrolled in a session by invitation also bypass any requirements in the multi-step registration process.

  • Set the session settings to "Closed" until you are ready for enrolled users to access course content.

5. Enroll via Token

An enrollment token is a unique URL that can be used a specified number of times to allow users to enroll in a course. TechChange frequently uses this enrollment method to enroll groups of individuals from partner organizations - without knowing each individual's name, we can send a link that permits a specified number of users to join a course.

Since enrollment tokens bypass the course catalog page, they work with any course catalog listing visibility setting. Enrollment tokens also bypass any requirements in the multi-step registration process.

  • Set the session settings to "Closed" until you are ready for enrolled users to access course content.
